I want to register, how should I proceed?

Registration is limited to the available spots and can be done here. Please note that during the registration process, you will need to have the details of your entire team, including a passport-style photo of each member, a permission statement from your legal guardian (if applicable), and proof of payment for the event.

What is the cost of participation?

The cost of participation in this event is €17.50 per participant and includes all meals and materials needed for the competition. Participants will also receive a participation kit, a credential, an event t-shirt, various materials from sponsors, a cultural visit, and access to all activities listed in the event program. Participation for teachers is free of charge.

I want an invoice, how should I proceed?

The registration receipt will be issued for all members, so the Tax Identification Number (NIF) will be requested during registration and will be sent to your email once it has been issued. The receipt is generated by the financial services of the Academic Association of Coimbra, not by the BotOlympics Organizing Committee, so this process is not automatic and may take some time.

I don’t have a team, what should I do?

All teams must consist of 4 members. Only for the university-level competitions (FCTUC) is it possible to register individually. In this case, your registration will be confirmed once 3 more individuals register under the same condition, forming a complete team.

I need transportation during the event, how should I arrange this?

Transportation during the event is provided by the organization, both for the cultural visit and for the trip to the final venue.

I want to be a volunteer, what benefits do I get and how can I register?

Volunteers are entitled to the same benefits as participants under the same conditions (meals, restrooms, transportation, accommodation, certificate, and diploma supplement). Registration is also done on the BotOlympics website during the period announced on social media.

I want to purchase the robot after the event, what should I do?

If you wish to purchase one of the robot models used in the ISR or Bot’N Roll challenges, you can do so at a price lower than the usual retail price. The purchase is made by order, and you should express your interest during the registration process.

I have classes that overlap with the event, what should I do?

Attendance at the event, including the opening session and workshops, is mandatory. Failure to attend will result in automatic exclusion from the event. If you have classes at the same time, you are entitled to an official justification for your absences.

Is it mandatory to participate in all parts of the competition?

Our goal is to provide a learning environment, promote team spirit, and enhance students’ problem-solving abilities. To achieve this, teams are required to participate in all parts of the event and must be accompanied by their teacher (if applicable) during these moments.

What meals are provided by the organization?

The organization provides all meals (breakfast, lunch, and dinner). Throughout the event, there will also be regular coffee breaks. Coffee is provided by the organization for the entire event, except at the final venue.

What type of certificate will we receive?

All participants, mentors, and volunteers will receive a participation certificate issued by the Coordination of the BotOlympics Organizing Committee and certified by the Director of the Department of Electrical and Computer Engineering at FCTUC. UC students will also receive a diploma supplement issued by the Academic Management Services of the University of Coimbra, as well as an official justification for any missed classes.

How does the competition work according to the schedule?

Students will have full access to the rooms where they will sleep, so they can choose to either work or rest. Each team will have the freedom to decide. The fixed schedules will include essential meal times (breakfast, lunch, and dinner), the training sessions on the first day, and the final competition.

Where will the accommodation be?

Both students and accompanying teachers will be accommodated at our DEEC (Department of Electrical and Computer Engineering) facilities. If the team prefers, they can stay outside the department, but all logistics and costs will be the responsibility of the team or the school (if applicable). It is important to note that students will always have access to the sleeping area as well as the work area, so they can choose whether to work or sleep.

For the primary and secondary school competitions, is it possible to register more than one team per school?

Yes, more than one team can be registered per school. However, each competition has a limited number of spots for teams. Teams are approved after payment of the registration fee, and if there are multiple teams from the same school, priority will be given to the registration of the first team. The remaining teams will be placed on a waiting list.

What materials should I bring for the competition?

You should bring all your personal hygiene items (slippers, towels, etc.), a sleeping bag, a mattress or equivalent, clothes for the weekend, and any other items you think are necessary. For the “hackathon,” you should bring your computer (at least one per team).
